105 institutions, one village-lighting programme
A national donation programme that placed typically ten lights in each participating village, documented by a signed letter from every recipient institution.
What the site needed
The programme worked through county civil affairs offices, women's federations, veterans affairs bureaus, charity federations and village committees. Each one had a different approval route, a different receiving address and a different idea of what a handover should look like.
How it was run
- A standard ten-light village package, so the letter and the delivery matched.
- One contact per institution, with the address and the receiving name confirmed in writing before dispatch.
- A photograph set per site: pole, light, switch-on, and the person signing.
- Letters filed by province, then by institution, then by date.
What it proves
This is the least glamorous page on the site and the most useful. One hundred and five institutions means one hundred and five sets of paperwork. The programme shipped because the paperwork was designed first. Any buyer running a donor, CSR or municipal programme can copy the sequence: letter, allocation, dispatch list, photo set, signed handover, file.

What documentation costs, and saves
| Sites | 105 |
| Typical package | 10 lights per village |
| Admin per site | Address check, letter, photo set, filing |
| Cost of a missing letter | The whole site becomes unfundable |
| Cost of a photo set | About 20 minutes on site |
| Effect | Repeat programmes, not one-off donations |
In programme work the file is the asset. A funder who can see 105 signed letters will fund the next 105.
What to copy, what to avoid
- Design the evidence pack before the hardware.
- One contact per recipient, confirmed in writing.
- Photograph the signature, not just the light.
- File by province and date so the next audit is a lookup, not a search.
Send the site. We will send the file.
